WHAT IS ACADEMIC ADVISING?
Every student enrolled at the university is assigned an academic advisor starting from their first year. For any academic matter, the first person students consult is this faculty member. The advisor guides the student in planning their course schedule in line with curriculum requirements and academic procedures, and in selecting elective courses according to their interests.
During semester registrations, the advisor reviews the course schedule prepared by the student, evaluates it considering their academic performance, and either approves it if appropriate or requests revisions before approval. During the add/drop and withdrawal periods, the advisor evaluates the student’s requests regarding their course schedule and approves them if found appropriate. The registration process cannot be completed without the advisor’s approval. Therefore, the advisor’s accessibility during registration and course add/drop periods is crucial for ensuring the process runs smoothly.
In addition, the advisor informs their students about academic and professional experiences provided by university education and their field of expertise, shares ideas by guiding them, monitors their academic performance, and provides guidance in academic, social, and cultural activities. The advisor supports students in adapting to higher education and in career planning, contributes to their psycho-social development, helps solve problems they may face, directs them to relevant support units when necessary, and guides them professionally while fostering lifelong learning habits.
DUTIES OF ACADEMIC ADVISORS ACCORDING TO OKÜ ACADEMIC ADVISING REGULATION
The advisor guides students in ways that contribute to their academic success, personal and social development, monitors their progress, and responds to the administration’s requests for information when needed. Advisors meet with their students at least once collectively each semester. In addition, they allocate at least one hour per week to meet with students and announce the place and time of these meetings via the institution’s website. If necessary, students with special problems are referred to the Department Chair or to the Counseling and Psychological Guidance Service (if available).
At the beginning of each semester, the advisor announces their weekly consultation days and hours. In line with the academic calendar, they assist students with course registration, course selection, enrollment, add/drop processes, evaluate compliance with relevant regulations (directives, guidelines, board decisions), and grant approval. They also help students understand and adapt to changes in regulations.
Furthermore, advisors inform and guide students about exchange programs, international opportunities, scholarships, and internships. They assist the department, the Registrar’s Office, and internship/education committees in resolving problems related to their advisees. Finally, they provide career-related guidance for life after graduation.
RESPONSIBILITIES OF STUDENTS IN THE ACADEMIC ADVISING SYSTEM
Students are expected to be knowledgeable about legal and administrative regulations regarding their educational rights and responsibilities and to act in compliance with them.
They must be informed about processes such as course registration and renewal, acknowledge that the primary responsibility lies with them, and act in line with established rules. Students complete course registration within the time specified in the academic calendar via the Student Information System (SIS). Once course selection is completed, they contact their academic advisor for approval. If the advisor suggests changes, the student updates their selection and resubmits it for approval.
Students are required to comply with the consultation days and hours announced by their academic advisor at the beginning of the semester. Outside of these routine consultation hours, if needed, students contact their academic advisor via the SIS to schedule an appointment.
For issues within the advisor’s scope of responsibility, students must first consult their advisor. They are also expected to keep their advisor and SIS information up to date.
